Job Description

We are seeking an experienced Litigation Legal Secretary to provide comprehensive administrative and litigation support to a team of attorneys in a fast-paced law firm environment. The ideal candidate will possess strong knowledge of California state and federal court procedures, exceptional organizational skills, and the ability to manage multiple priorities while maintaining accuracy and professionalism.

Key Responsibilities

  • Prepare, proofread, edit, and format legal documents, correspondence, pleadings, motions, discovery, and trial materials.
  • File documents electronically in California state and federal courts, ensuring compliance with court rules and deadlines.
  • Maintain attorney calendars, including scheduling hearings, depositions, mediations, client meetings, and court appearances.
  • Monitor litigation deadlines and manage calendaring systems to ensure timely filings and responses.
  • Coordinate service of process and manage filing and service requirements.
  • Assist with discovery, including document production, subpoenas, and case management.
  • Organize and maintain physical and electronic case files.
  • Prepare trial binders, exhibits, witness files, and other trial support materials.
  • Communicate professionally with clients, opposing counsel, court personnel, vendors, and experts.
  • Process attorney time entries, expense reports, and client billing support as needed.
  • Handle confidential information with discretion and professionalism.

Qualifications

  • Minimum 5 years of litigation secretarial experience in a law firm environment.
  • Strong knowledge of California state court and federal court filing procedures.
  • Experience supporting multiple attorneys and managing complex litigation matters.
  • Proficiency with Microsoft Office Suite, Adobe Acrobat, Outlook, and document management systems.
  • Experience with legal calendaring software and e-filing platforms.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and ability to meet critical deadlines.
  • Ability to work independently and collaboratively within a team environment.

Preferred Qualifications

  • Experience in complex commercial litigation, employment litigation, insurance defense, or general civil litigation.
  • Notary Public commission a plus.
  • Familiarity with iManage, NetDocuments, CompuLaw, or similar legal software.
